Unifying Divisions

Whether it’s an organization that was built through acquisition or one that expanded rapidly into new markets, a business with multiple divisions is ripe for improvements that come by unifying operations under a single ERP solution with the power and flexibility to streamline processes and improve profitability.

Like any effort to implement an ERP system, the planning phase of an initiative to consolidate software systems and business processes is crucial. Time must be allocated to properly analyze all processes across divisions, getting a clear picture of the way things currently get done throughout the organization. The goal is to intermesh all these processes in the ERP system, picking and choosing what works best for the organization as a whole. At this point, working with an outside consultant with expertise in transforming business processes can help optimize the end result of a unified organization.

A cross-functional team must be assembled from each of the divisions to gather requirements from throughout the organization. These team members should be eager to learn because time spent in the unification process will stretch them beyond their normal role. They also need a commitment to the success of the company that will carry them through the inevitable trial of successfully implementing an ERP system. Crucial to overcoming these trials is getting and maintaining buy-in from executives. Members of the team and all employees must know that the executive team has made the unification a priority that will result in the success of the company.

When the time comes to go live with the unified system, the implementation team should be on alert to keep track of the issues that come up. The team that was gathered for planning and implementation should continue to meet during the go-live process. It is an opportunity to verify that the implementation accomplished goals and to create documentation for users to help them adopt both the ERP system and new processes that are driving it.

There are many benefits to unifying an organization’s divisions under a single ERP system. It often results in improved processes and saved costs by eliminating redundancies. The power of Business Intelligence can be unleased on data from different divisions, providing real-time analytics and reports across the entire organization. And the organization becomes more nimble, ready to adapt to market changes affecting any of its divisions.

Logging in as a Different User

A great tip to help users when they have to switch between logins, whether testing user functionality or working with another user on training, is the Run as different user function. There are many different reasons why you may want to log in as a different user. Your coworker or manager might want to log in from your PC and show you something or make a quick change to something that was posted incorrectly. It's always a best practice to work from your own login when in AX so that the records you touch in the system are tied to your username, but there will always be circumstances where it would be convenient to have another user log in to AX from your specific instance.

A typical installation of AX will have users set up as Active Directory authenticated. This means that when you log in to your work network with your username and password, your AX login will be automatically authenticated. This is great for ease of use and not having to enter your password every time you want to open AX (especially if you accidentally close AX a lot - we all do it!).

Run as Different User


The Run as different user function can be accessed from your AX icon on your desktop. If you right click on the icon, you will see that you are given many different options, including the ability to Run as administrator. That's not exactly what you are looking for, so how do we Run as different user?

This is a hidden functionality as you will have to press Shift + right click at the same time. You will see that the list has now expanded to include Run as different user.

Once you click on that, AX will prompt you to enter the username and password of the user you are logging in as. Just remember, all transactions will be in that user's name.

You can now run AX as a different user or allow another user to log in from your client.

Password Security

It would be irresponsible of me as an IT professional and as someone who sits through security audits annually to not discuss password security as part of this blog. While having the ability to log in as a different user on your client can be a really beneficial tool, please be aware of the dangers of this as well.

Always guard your password. Your password is your key to your company's financial software. Guard it like you would guard the key to your house or car. You wouldn't just hand it over and allow anyone to enter. Treat your access to your company's financials the same way! Anyone who has your password can log in as you and create transactions tied to your user ID. Since they are tied to your user ID, it is highly likely that you would be held responsible for any erroneous or malicious transactions. If you aren't held responsible for the transactions, you could be held responsible for sharing your password. It's not a good practice. Don't do it. Also, always make sure any sessions that you are logged in to on someone else's PC get completely closed before you walk away. This will remove you from the session and when it is reopened on their PC, will be opened with the original Active Directory username that is logged in to the PC.

If someone did somehow obtain your password, change it immediately. You don't have to wait for your company's password policy to kick in and tell you it's time to change your password. This is something you can do as often as you'd like! If your password has been compromised in any way, the best practice would be for you to change it immediately.

Another thing to remember is to always lock your screen. When you walk away from your computer, lock it! Because AX uses Active Directory authentication, it would be simple for someone to walk up to your computer, sit down and have immediate access to everything you have access to in AX. It's as easy as Ctrl + Alt + Del followed by Enter or Windows key + l to lock your PC. Another option would be to have your screen set to automatically lock after a minute of inactivity. Protect yourself! It's a good habit to get into.

Stopped (unrecoverable) workflow dynamics ax 2012 R3

Yesterday I face a problem; some Ledger journal records are stuck into Workflow. In Error message, described about issues in  customization. In the after last deployment code full cil was not generated. So first step is full Cil generation.

For resubmit these pending records, I used the code snippet delivered on Microsoft Forum by Dick wenning. It help me to resolve ledgers records.

You can get recid from workflow history screen.

But one record remains unrecoverable. For this I explored tables  as follow.

If we explore workflow tables, you find that main player tables are

SysWorkflowTable

WorkflowTrackingTable

 

In workflowTrackingStatusTable ContexttableId feild contains the table id of ledgerjournaltable and contextrecid contains the records recid of ledgerjoural row on workflow is applied.

SysWorkflowTable correlation id is key relation between Sysworkflow.

 

 

In current scenario, when all records are recovered, but one record is not recoverable. The follow these steps, but you can use them but your own risk.

 

  • Get recid from workflowTrackstatusTable from workflow history. Or Use contextrecid of LedgerJournalTable.
  • Sql Query on workflowtrackingSTatusTable and get correlationId.
  • Query on SysworkflowTable workflowcorrelationid and get the reference sysworkflow table and get reference id
  • Query on Select WorkflowTrackingTable workflowTrackingTable.WORKFLOWTRACKINGSTATUSTABLE Which is based on recid of workflowTrackStatusTable.
  • Delete the records based on reference and reset the ledgerJournaltable status to draft.

 

For your reference I used following Select query.
