Recovering from a Failed ERP Implementation

$

It’s no secret that ERP implementations fail. In fact, Gartner Research estimates that between 55 to 75 percent of all ERP implementation projects fail. Even if you think that the latter number is a bit high, the thought that over half of these projects may be considered a failure is quite frightening. Not only that, but it is something that you may find yourself having to recover from.

We have talked quite a bit about steps you can take to help prevent your implementation project from failing, but what if you are one of those who are looking around knowing that your ERP solution isn’t working for you? If your organization has come to terms with the fact that you are dealing with a failed implementation, then its time to start planning a comeback. The following steps will get you started on the road to recovery.

Take a long, hard look at your software

Many times, a failed ERP project can be traced back to the software itself. More specifically, the fact that the software you chose wasn’t a good fit for your organization. The recovery team should meet with the team that chose the failed solution so that they can get a perspective on why this particular option was the one purchased. Maybe its just that you need to purchase additional modules or have some customization work done. On the other end of the spectrum, if may be that the software is the wrong choice for a company in your industry or of your size.

Revisit the training program

Take the time to talk to the people using the software to see if they feel that they were adequately trained on how to use the solution in real world situations. Often times, training sessions cover how to do tasks in pristine test environments. If end users don’t know how to react when real world issues arise, then they are certainly going to see this as a failure.

Reexamine your expectations

One common cause of failure is that there are unrealistic expectations set from the beginning. Maybe the features of a more expensive solution are wanted or needed but the budget won’t allow for that application. Another common problem is wanting an implementation to take less time than is actually needed so adequate testing and training is not scheduled into the project plan. In any event, take the time to see if you are setting your solution up for failure by mismanaging expectations from the very beginning.

Get the right team in place

If your project has failed, then make sure your recovery team is both knowledgeable about the solution you are implementing; but also make sure that they are accepting of any changes that are taking place. You don’t want your project to slow down because people are learning on the fly or because they are resisting the change that is taking place.

Failed ERP implementations are costly, however, you lose more by not fixing what is broken. If you find yourself in the position of having to recover from a failed project, make sure to reach out to the right people to get things back on track as quickly as possible.

We’ve recently released some kernel fixes that improve how Microsoft Dynamics AX 2012 R2 and R3 handle SQL Server AlwaysOn AG failovers.

The R3 version of this fix is visible on LCS here:

LCS | AX 2012 R3 Kernel Fix KB3159596 | Handle SQL Server AlwaysOn AG failovers more transparently and gracefully
https://fix.lcs.dynamics.com/Issue/Resolved?kb=3159596

For AX 2012 R3, you need to be on a kernel that is >=6.3.3000.3972

For AX 2012 R2, you need to be running a kernel that is >=6.2.3000.1684

You can download the latest kernels from LCS here:

Timing is Everything: Two Reasons the Month of June is the Best Time to Buy a Dynamics Solution!

  1. The first reason is common for any tech company. Every person in sales has one specific date on their mind; it is the end of the year. Well, Microsoft sales teams are no different. However unlike traditional tech companies Microsoft has year end on 6/31. What this means for buyers is that Microsoft will do anything in their power to close the deal by the end of this month. Just looking at Microsoft’s current promotions it is easy to see they have a common goal. I was recently working on an opportunity where I told my Microsoft Rep that I could possibly close the deal by 6/31 if I had a bit more leverage on price. Prior to this month I was able to get the 17% discount on licensing. It wasn’t until this month that I was offered a discount of 25%. When dealing with big license deals these savings can be huge.

If you are currently in the midst of a buying decision and would like a VAR to help you drive down the price, please contact: Colby.watkins@calsoft.com

  1. The second reason the month of June is the best time to buy is because of the average time it takes to install an ERP system. Ideally most companies would like to go live at the start of their fiscal year 1/1. Well with a 6 month buffer this can ensure you are ready to go live at the turn of the New Year and your goals can be met.

If you are looking for a VAR who has constantly come in under budget and on schedule please contact Colby.watkins@calsoft.com

Which to attend: AXUG or Ignite?

$

As you may recall, back in January Microsoft announced that the long-running Convergence event would no longer be held in any capacity. Instead, the content would be split by two new events: Envision and Ignite. In our breakdown of which event you should attend there was a pretty clear division between Envision and Ignite. Envision was styled after TED conferences with discussions around visionary content whereas Ignite is billed as a highly technical conference with a wide variety of immersive learning experiences. While both offered very different, valuable experiences it still begged the question, where did AXUG Summit fit into this picture? Well, now we know! Initial reports suggested that the functional content once found at Convergence would end up at Ignite. However, with the recent publication of the Ignite session catalog we now know that is not the case. Out of the 470+ sessions offered at Ignite, as of this posting there are only 9 about Dynamics AX. The good news is that the functional content is not going away. It’s just being moved to AXUG summit. Janet Lampert, President and COO of Dynamics Communities Inc, recently published a blog announcing an expanded partnership with Microsoft. While Microsoft had always been a part of Summit, there will now be an additional day added to the event to allow for Microsoft-led sessions.   To recap: while we strongly recommend spending your travel budget to head to Tampa, Ignite is still a reasonable choice for IT professionals looking to learn more about the entire Microsoft family. AXUG Summit 2016 When & Where: October 11-14, 2016 | Tampa, FL Who: All Dynamics AX users Go if…. You want to learn about particular features or functions in Dynamics AX You enjoy networking with other Dynamics AX users You want to find out more about the Dynamics AX roadmap You are day-to-day user of Dynamics AX and don’t need to get into the technical aspects of the solution Stay home if… Actually, we can’t think of a reason to stay home! Our take: Although Microsoft has always been involved in Summit, this year they have announced a much more active, visible role in the event. And while initial reports suggested that the functional content once found at Convergence would end up at Ignite, it seems like Microsoft has decided to put those resources towards AXUG instead. Think AXUG is right for you? REGISTER HERE Microsoft Ignite When & Where: September 26-30, 2016 | Atlanta, GA Who: “IT Professionals” Go if…. You are interested in learning more about a wide variety of Microsoft products You’re looking for a hands-on experience You’d like to prep for Microsoft certification exams You’re interested in seeing lots of demos and ‘how-tos’ straight from the source Stay home if… You’re looking for in-depth Dynamics AX only content You’re not an everyday user of Microsoft technology Big crowds aren’t your thing Our take: This event is for folks who want to be hands-on and in the nitty gritty of everything Microsoft has to offer--not just the Dynamics family. Based on the session list , you may be better off attending if you are interested in learning about anything except Dynamics AX! However, if you think this is still the conference for you or someone on your team, you better act fast! At last report there were over 18,000 registered attendees and hotels within the Ignite block are all but sold out. Think Ignite is right for you? REGISTER HERE Sunrise Technologies will be at both events so make sure you stop by and say hello: Ignite Booth: TBD AXUG Summit Booth: 616

New Dynamics AX – Pimp up your form-letters with document branding

The New Dynamics AX never stops to surprise me, and every day I find new possibilities and solutions. Microsoft have made available a new set of form letters, like purchase order, sales confirmation, invoice etc, and installing them is optional. What is new is that they are much nice and modern, but they are missing country specific requirements. Microsoft is calling them “Modern reports”, and you can read about them here.

But the main topic of this blog is about how to pimp-up your form letters, with document branding. The following report is the Purchase order in modern design, and where I have added a logo and some colors.

The menu item for controlling this is found under Organization à Setup à Document branding

We have the following menu items;

Document brands, is just the identifier, like company ID etc.

Document images is a container for logoes etc,

The Brand details is where we can override per formletter and design, and select colors, and override addresses and contact information.

I expect Microsoft have much more coming, so stay tuned J

Do you need Life Sciences Industry-Specific ERP?

$

It goes without saying that every business that intends to grow needs an ERP system that provides a framework for business processes and insight into costs, results and performance. For companies in some industries, almost any ERP system will probably work fine. But because of the highly regulated nature of their industry, Life Sciences companies have special requirements they need to consider when selecting an ERP system.

Too often, Life Sciences companies don’t realize that not all ERP systems are the same. Companies in this industry need an ERP solution that meets all their unique business needs and that can also help them to reduce the risk of non-compliance. At a minimum, an ERP system in Life Sciences should have strong support for crucial industry specific needs that allow the company to meet its regulatory compliance obligation without adding burdensome manual processes and unnecessary costs.

Life Science companies need a partner who understands the industry and can help them develop efficient processes built on best practices while staying compliant. One who understands the intricacies of the FDA and other regulatory requirements and is aware of the devastating penalties for non-compliance. The benefits of working with a partner who understands the industry can’t be overstated.

By helping to ensure and enforce compliance, Life Sciences ERP provides a simple solution to a pressing problem. It can take the stress out of tracking, tracing, recalls and managing quality without adding undue burden on day-to-day transaction processing.

Built in business insight enables rapid decisions based on facts, not guesswork. This helps Life Sciences companies make the right choices in real time, helping to save money and speed time to market. In a competitive industry such as Life Sciences, time to market can make or break a company. Early entrants often go on to become the industry standard, while late arrivals never enjoy a strong market position, even in cases where the product is actually superior.

If your Life Sciences company is searching for a new ERP solution, don’t be fooled by ERP companies who claim to understand your industry. Look for industry leaders that offer validation ready, on-premise or cloud environment that helps you jumpstart your FDA certification while conserving capital for important R&D projects. Find a solution that is scalable, extensible and ready for Life Sciences specific business needs.

You shouldn’t have to compromise on your ERP solution. You need it all – from track and trace through quality management and document management to global supply chain visibility.

Microsoft Dynamics AX + Document Management = Maximum Efficiency

$

You want your organization to function as efficiently as possible, and your Microsoft Dynamics AX solution has been a great asset. You have probably experienced gains in productivity by streamlining your financial processes, but have you noticed that you still have stacks of paperwork adding up and inhibiting your efficiency?

A document management solution that integrates with your AX solution can increase the productivity of your team. Here’s how a document management solution can enhance your Microsoft Dynamics AX solution and help you maximize efficiency at your large enterprise:

Automated workflow: When staff needs to try to remember which department documents need to go to and how they need to be filed or indexed, it often means that they will have to spend hours searching for them when they need them next. Automated workflow with document management, like MetaViewer, auto classifies, identifies and extracts transactional data. It can also facilitate checks with your ERP system to make sure data is accurate.

Elimination of manual data entry: Manual data entry is time consuming, inaccurate and – let’s be honest – boring. But everyone loves tediously keying information into a spreadsheet day after day, right? Wrong. A document management solution captures invoices and other documents, both in electronic and paper format, and extracts information automatically. This means that you don’t have to spend hours of your valuable time setting up vendor profiles and entering information by-hand.

Real-time visibility: Executives are busy people and don’t have the time to pull up and print reports. A document management system saves time by providing real-time visibility into financial processes by providing a view of the entire AP process through dashboards and charts.

Fewer mistakes: A paperless document management solution helps you cut down on errors that can lead to unnecessary financial losses and stress. Records are stored on a secure network, meticulously organized and are stored in plain text so you don’t have to read somebody’s chicken scratch. This helps eliminate errors caused by misreading poor handwriting. A document management solution collects and stores invoices electronically. That means no more data entry on your end, and with less manual data entry comes fewer mistakes.

Integration with ERP software: You’ve already made a large investment in a Microsoft Dynamics AX solution to streamline your business processes; adding an AP automation solution further enhances your investment by updating the Microsoft Dynamics AX database with invoice line-item details and correct GL coding information. An AP automation solution can also use information already found in your AX database to index newly scanned documents.

Don't feel like you're getting all the efficiency gains that you can from your Microsoft Dynamics AX solution yet? It may be time to automate and go fully paperless with document management!
