Go-Live is Coming Soon – What to Expect and Steps to Prepare

checkboxesIt has been months working on the project, first with a kick-off meeting with your project team, then numerous meetings of how to process, configure, and utilize the system. You gathered data, helped setup the system, and took many training classes. Everyone is nervous, anxious, and excited to use the new system. As the go-live date approaches, the days seem longer for the preparation and transition.

Let’s make sure the system is ready for you to use. Here are some user acceptance tests to conduct:

  1. Chart of Accounts are correct
  2. Enter and post journal entry
  3. Enter and post banking transactions
  4. Enter and post accounts payable
  5. Enter and process purchase order, including receiving and matching
  6. Process sales transactions
  7. Enter and post accounts receivable
  8. Create new vendors
  9. Create new customers
  10. Create new items if you have inventory
  11. Enter and post inventory adjustments
  12. Process stock counts
  13. Do the entire process of check run
  14. Validate document formats
  15. Validate financial statements

These tests not only validates the system is working, also tests your knowledge from the training classes.

Right before you go-live, you will need data for the opening balances. They can be imported or entered into the system manually if the data is only a handful. Here are some data you may need:

  1. Beginning general ledger balance (Trial balance report)
  2. Open accounts receivable transactions (AR aging report)
  3. Open accounts payable transactions (AP aging report)
  4. Outstanding checks and deposits
  5. Open purchase orders
  6. Open sales orders
  7. Beginning inventory quantities and values (if you have inventory)

Expect minor bumps and many questions when you go live on the system. But if you are well prepared, it’s nothing you can’t handle. Good luck!
